Digitising Regulated Gaming Operations Across a Multi-Site Registered Club
Designed and led the end-to-end digitisation of regulated gaming operations across 10+ registered clubs, connecting procurement, stock and ticket control, session management, sales, prize allocation, cash reconciliation, finance and audit reporting within a single operating environment.

CHALLENGE
The organisation operated regulated gaming sessions across more than 10 registered clubs, requiring tight control over tickets, prizes, cash collections, financial records and regulatory reporting.
Yet the entire operating cycle from procurement and stock management through session setup, ticket sales, prize allocation, cash reconciliation and finance reporting was largely manual. Information was maintained across paper records, spreadsheets and separate processes, creating significant administrative effort, limited visibility and difficulty reconciling activity across locations.
The organisation needed to redesign the entire operational and control environment, creating one digital model connecting frontline activity, finance, inventory, compliance and management reporting.
IMPACT
The transformation replaced fragmented manual processes with an integrated digital operating environment spanning procurement, frontline operations, financial reconciliation and audit.
8% → 0.3% Reduction in annual stock and ticket losses through improved traceability, daily reconciliation and accountability.
~$250K p.a. Administrative capacity released by eliminating manual data-entry and reconciliation activities previously requiring a three-person team.
~280% growth Improved session intelligence enabled the organisation to redesign games and prize offerings, contributing to substantial growth in session income and patron participation.
End-to-end financial reconciliation: Integrated operational activity with the finance system, connecting ticket sales, prizes, cash collection and banking information to support reconciliation and audit requirements.
For the first time, management could understand profitability by individual session and club, enabling evidence-based decisions about game design, prizes and operating performance.
